By registering or renominating a team in Brisbane City Indoor Sports (BCIS) social competitions, you (the Team Captain) acknowledge and agree to the following terms, conditions, and the BCIS Liability & Indemnity Waiver.

It is the sole responsibility of the Team Captain to ensure all team members understand, agree to, and comply with these conditions before participating. Any player who does not agree must not take part in any activity at BCIS.

Captain’s Administrative & Financial Responsibilities

As Team Captain, you agree that you are entering a team into a scheduled weekly season (typically 16 weeks) and are expected to play all scheduled games. You are responsible for ensuring: :

  • Roster Compliance: Every player is fully registered online with their full legal name, active mobile number, and email address before taking the court.
  • Weekly Check-In: All participating players check in via the venue check-in system prior to the start of every game.
  • Game Fees: Match fees and any outstanding balances are paid in full prior to taking the court for each scheduled game.
  • Financial Liability: You accept personal financial responsibility for any outstanding team debts, including weekly game fees, finals fees, and forfeit fines. BCIS will invoice outstanding balances directly to you as the registered Team Captain; recovering individual shares from teammates is your sole responsibility.

In the event that any of these responsibilities are not followed, actions may be taken for debt recovery and insurance nullification.

Game Scheduling, Forfeits & Team Withdrawal

  1. Game Times: Depending on the sport, fixtures run Monday to Friday from 5:50 pm to 9:50 pm, and Sundays from 2:00 pm to 8:20 pm. Times are distributed as evenly as possible across the competition. Teams cannot request specific times or "opt out" of late slots.
  2. Assistance Before Forfeiting: If your team is struggling with player numbers or times, contact BCIS early. Venue staff can often arrange fill-in players.
  3. Forfeit Fees: Any unnotified or late forfeit will incur a penalty fee equal to two (2) full game fees, which must be paid before your team's next scheduled fixture.
  4. Official Withdrawal & Notice: To withdraw a team from the competition or transfer captaincy, written notice must be emailed to [email protected]. To avoid being charged for a scheduled match, you must provide at least 48 hours' notice prior to game time. Teams that forfeit or withdraw without 48 hours' written notice will be charged full match fees.
  5. Grading: Management will endeavour to grade competitions fairly and evenly. However, where a perfect grade fit is not possible, teams will be placed in the most appropriate division available.

Player Eligibility, Insurance & Injury Protocols

  1. Finals Eligibility: Players must play a minimum of three (3) regular-season games as a fully registered player for that specific team to qualify for Semi-Finals and Grand Finals.
  2. Insurance Coverage: Limited player injury insurance applies only to players who are fully registered on the team roster and checked in through the venue system for that specific match. Unregistered or unchecked players are not covered.
  3. Coverage Scope: BCIS insurance is limited supplemental cover; players are strongly encouraged to maintain private health and personal injury insurance.
  4. Injury Reporting: All injuries sustained on-site must be reported to BCIS Venue Staff/Management at the counter immediately (or as soon as practicable). Match officials (referees/umpires) cannot take incident reports. Failure to lodge an official BCIS Incident Report on the day may result in your insurance claim being denied by the insurer.
  5. Roster Integrity: Teams that consistently provide inaccurate details or field unregistered players may be disqualified and removed from the competition without refund.

Code of Conduct & Venue Safety

  1. Sportsmanship: All players, substitutes, and spectators must participate in good spirit and treat teammates, opponents, match officials, and BCIS staff with respect at all times.
  2. Zero Tolerance for Abuse: BCIS operates a strict zero-tolerance policy regarding aggression, intimidation, verbal abuse, or physical threats toward any player, official, or staff member.
  3. Right of Removal & Bans: BCIS Venue Staff and Match Officials reserve the right to immediately remove any individual or team from a match or the venue premises. BCIS Management reserves the right to issue temporary suspensions, permanent bans, or pursue police/legal action where warranted.
